Privacy Policy

1. Who we are

CallAssist™ ("CallAssist," "we," "us") provides an AI phone-answering and appointment-booking service for trade and service businesses in the United States. We are based in Palm Beach County, Florida, and our phone number is (561) 231-0391.

This policy explains what we collect, why, who we share it with, and the choices you have. It covers our website, our customer portal at my.callassist.tech, and the AI answering service itself.

2. Two kinds of people, two kinds of data

We handle information about two different groups, and it matters which one you are:

  • Customers — business owners who sign up for CallAssist.
  • Callers — the people who phone or text a CallAssist customer's business line and reach our AI assistant.

For caller information, the CallAssist customer is the owner of that data. We process it on their behalf and only to run the service.

3. Information we collect

From customers

  • Name, business name, email address, phone number and business address
  • Business details you enter during setup: services offered, service area, hours, payment methods, transfer and emergency-referral numbers, greeting preferences
  • Billing information — card payments are processed by Stripe. We never see or store your full card number.
  • If you complete carrier (A2P) registration for text messaging, the business registration details required by the carriers, which may include an EIN or, for sole proprietors, a Social Security number
  • Account and login information for the customer portal

From callers

  • Phone number and caller ID information
  • What the caller tells the assistant — name, callback number, address, and the reason for the call
  • A transcript and summary of the conversation, and the appointment booked (if any)
  • Text messages exchanged with the business line

Automatically, from our website

  • IP address, browser and device type, pages viewed, and referring page
  • Cookies and similar technologies, including Google Analytics

4. Call recording and transcription

Calls answered by the CallAssist assistant are transcribed, and may be recorded, so the business owner can review what was said and so appointments can be booked accurately.

Recording and consent laws vary by state, and some states require every party on the call to consent. If you are a CallAssist customer, you are responsible for making sure your greeting and your practices comply with the law where you and your callers are located. We provide greeting settings that let you disclose recording; please use them.

5. How we use information

  • To answer your calls, qualify leads, and book appointments on your calendar
  • To send you call summaries, transcripts, text alerts, and your weekly recap email
  • To send callers appointment confirmations and reminders on your behalf
  • To create and manage your account, provide support, and process billing
  • To keep the service secure, prevent abuse, and meet our legal obligations
  • To improve the service — but see the limits in section 6

6. What we do not do

  • We do not sell your personal information, and we do not sell or share caller information.
  • Mobile phone numbers and text-messaging consent are never shared with third parties or affiliates for their own marketing or promotional purposes. Opt-in data is not sold, rented, or shared for marketing.
  • We do not use your customers' call content to advertise to them.

7. Who we share information with

We share information only with the service providers that make CallAssist work, and only as needed:

  • HighLevel / LeadConnector — the CRM, calendar, and messaging platform behind the service
  • Telephone and SMS carriers — to place, receive, and deliver calls and texts
  • Stripe — payment processing
  • Cloudflare — hosting for our customer portal
  • Speech and language AI providers — to transcribe calls and generate the assistant's responses
  • Google Analytics — website usage measurement

We may also disclose information if the law requires it, to enforce our Terms, to protect someone's safety, or as part of a merger or sale of the business — in which case this policy continues to apply to the information transferred.

8. Text messaging

Text messages are sent only to people who have consented to receive them. Message frequency varies with your call volume; message and data rates may apply. Reply STOP to any message to opt out, or HELP for assistance. Opting out of service messages may prevent us from sending appointment reminders and confirmations.

9. How long we keep information

We keep customer account records for as long as your account is active and for a reasonable period afterward to meet tax, accounting, and legal obligations. Call transcripts, recordings, and messages are retained while your account is active so you can review them. When you close your account you may ask us to delete your data, and we will do so except where we are required to keep it.

10. Security

We use encryption in transit, access controls, and hosted infrastructure from established providers. Sensitive registration values such as tax identification numbers are stored only as long as needed to complete carrier registration. No system is perfectly secure, and we cannot guarantee absolute security.

11. Your choices and rights

You may ask us to access, correct, export, or delete your personal information, and you may object to certain processing. Depending on where you live — for example under the California Consumer Privacy Act — you may have additional rights, including the right not to be discriminated against for exercising them. Because we do not sell personal information, there is nothing to opt out of on that front.

If you are a caller and want your information removed, contact the business you called — they control that record — or contact us and we will pass the request along.

12. Cookies

Our website uses cookies to keep you signed in, remember preferences, and measure traffic. You can block or delete cookies in your browser settings; some parts of the customer portal will not work without them.

13. Children

CallAssist is a business service and is not directed to anyone under 18. We do not knowingly collect personal information from children.

14. Changes to this policy

If we change this policy we will update the effective date above and, for significant changes, notify customers by email.

SMS & text messaging program

When you opt in through our website form (or contact us first by phone or text), CallAssist™ (Remote Tech Expert Inc) may send you informational and transactional text messages — appointment confirmations and reminders, service updates, links you ask us to text you, and replies to your inquiries. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out immediately, or reply HELP for help (or email [email protected]). Consent is not a condition of purchase. Mobile phone numbers and SMS opt-in consent are never sold or shared with third parties or affiliates for marketing or promotional purposes; they are shared only with our SMS delivery providers as necessary to deliver the messages you requested.
